Ambrook's bill forwarding feature allows you to create draft bills directly from your email.
Using Bill Forwarding
Set Up Your Bill Forwarding Email Address
Sign in to your Ambrook account.
Go to Bills.
Click the dropdown arrow next to +New Bill, then select Forward Bills.
Note the unique email address provided by Ambrook (e.g., yourcompany@ap.ambrook.com).
To edit this address:
Click the pencil icon next to the email address.
Or go to Settings -> Entities to update it.
Forward Emails
Forward bills yourself
Open your email.
Forward any bill to your unique Ambrook email address.
Note: Ensure the forwarded email includes a bill, either as an attachment or within the email body.
Get vendors to send bills directly
Provide your unique Ambrook email address to your vendors.
Instruct vendors to include this email in the To or CC fields when sending bills.
Note: This setup automatically creates a draft bill in your Ambrook account.โ
Processing Emails
Ambrook automatically creates a draft bill in your account using details from the forwarded email.
Allow up to 2-3 minutes for the draft bill to appear.
If processing is successful, the sender receives a confirmation email.
If there's an issue, Ambrook sends an error message to the sender.
Reviewing and Approving Draft Bills
Navigate to Bills โ Drafts in your Ambrook account.
Review each draft bill for accuracy.
Make necessary edits to the bill.
Save the bill as Open or pay it as usual.
Troubleshooting
Bill Missing Information After Processing
Problem: The bill is missing some details after being processed.
Solution: Verify the forwarded email contained all necessary information. Bill forwarding initiates the bill recording process but may not capture all details. Manually add any missing information during the review stage.โ
Email Doesnโt Create a Draft Bill
Problem: The forwarded email didn't generate a draft bill.
Solution: Confirm the email was sent to the correct unique Ambrook email address and included the bill or attachment. If the problem persists, contact Ambrook Support for assistance
Duplicate Bills
Problem: Duplicate bills are being created.
Solution: Verify that the same email isn't being forwarded multiple times. If duplicates continue to appear, contact Ambrook Support.
