Creating and paying bills on Ambrook allows you to get through payments and your bookkeeping at the same time.
To create a new bill:
Go to Bills.
Click +New Bill in the upper right to open the bill creation page.
Enter the bill’s line items on the left side of the page.
Tag the bill with the correct Category and Enterprise.
To bulk tag all line items, use the tags underneath the line items.
To tag items individually or edit a single line item, select Tag Each Item.
Complete the informational fields in the right-hand panel.
Tip: Drag and drop a PDF or email bill into the Scan File box to extract details automatically. If you have a paper bill, use the Ambrook mobile app to take a picture and upload it. Always review for accuracy!
Informational Fields
Field Name | Description |
Vendor | This is a required field. Depending on how you plan on paying them, make sure the vendor profile has a valid email, mailing address, and payment information. |
Bill ID | Enter a Bill ID if the vendor provided one. This field is not required, but if you leave it blank, it may be harder to distinguish between similar bills in the future. |
Description | Use this to provide context on what the bill was for (ex: “March utilities”). If you are writing a check through Ambrook, this text will also appear in the “Memo” line of that check. |
Bill Date | This defaults to today’s date, but you can change it to whatever date you’d like. |
Net Terms | Ambrook uses this information to alert you when a bill is coming overdue. Set Net Terms to “0” if payment is due to the vendor immediately. |
Due Date | This date is calculated based on the Bill Date and Net Terms fields, but you can also set it directly. |
Files | Use the Files section to upload any other documents you want to be associated with the bill for recordkeeping. If you used the Scan File feature, that file will already be attached. |
Saving your Bill:
Select Save as Draft from the Save As dropdown at any time. This saves your bill as a draft so you can return to it later. Draft bills are not included in your Accounts Payable totals.
Select Save as Open from the Save As dropdown to save your bill and continue later. Open bills are included in your Accounts Payable totals.
Tip: If you're creating multiple bills in one session, check the Create More box before saving. This skips extra clicks by taking you directly back to the bill creation screen instead of the Bills tab homepage.
