Easily manage receipts and ditch the paper pile

Having to deal with a pile of paper receipts come the end of the month or the end of the year is one of the tasks that can make bookkeeping extremely tedious and time-consuming. Ambrook allows you to easily keep track of receipts, match them to transactions, and ditch the paper pile.

Uploading Receipts

You can upload receipts to Ambrook in multiple ways:

Upload receipts directly to a transaction in your Ledger: If the transaction is already posted in your Ledger, you can click the transaction and scroll down to “Receipts”. If you’re on your computer, you’ll see the option to “Upload”. On the mobile app, you’ll see the option to “Upload” (from your camera roll) or “Camera” to take a photo.

Clicking this will allow you to upload a receipt directly to a transaction. Ambrook will also try to read the receipt line items for you to automatically itemize the transaction.

Upload receipts to your Ambrook receipt page: If you want to take a picture of your receipt right when you make a purchase (even before the transaction has posted) or you need to catch up and want to upload a large number of receipts at once, you can click the receipt button in the upper right of the Ledger to get to your Ambrook receipt page.

From here you can take pictures of a receipt, or upload multiple receipt photos from your phone camera roll or computer. These receipts will then be available for you to review, match to transactions, or create new transactions from. If someone else makes the purchase, they can take a picture of the receipt from their Ambrook app, and you will be able to review it from your account later as well.

Reviewing Receipts

Once you’ve uploaded receipts to your Receipts page, you can review them by clicking the “Review” button. You can use the arrows in the top right of review mode to move through all the files you have left to review.

You have several options for each file:

Attach to Transaction: Clicking on Review will allow you to match a receipt to a transaction on your Ledger by clicking “Attach Transaction”.

Ambrook AI Suggestions may automatically suggest transactions in your Ledger for you to match to. To accept a suggestion, click “Match”. This will attach the receipt to that transaction.

If the suggested match is incorrect, you can click Attach Other to search your Ledger for other transactions to match to.

Create New Transaction: Use this option to create a cash transaction pre-filled with the information from a receipt. We recommend this only for transactions that won’t come through your Ledger via one of your connected accounts. Otherwise, you should wait until the transaction posts and then attach it to the receipt to avoid creating duplicate transactions.

Discard: In case you accidentally upload a receipt or file you don’t want/need.

Reviewing Bills

You can also upload pictures of bills to the receipts page. When you enter review mode, if an image is a bill, click File Type and change it from Receipt -> Bill. You’ll then see the option to “Create a Draft Bill”. Clicking this will automatically create a draft bill from the image. You can review and finalize the bill by going to Bills -> Drafts -> clicking on the bill -> Review.

Other File Types

File types besides bills and receipts are not currently supported for import into Ambrook via the Receipts page. If you accidentally upload a photo of another document, you can select “Discard” to remove it.

FAQ

The amount and/or line items on the receipt I uploaded are incorrect. What do I do?

Ambrook’s automatic receipt reading technology is designed to speed up your receipt management process, but may not be 100% accurate when reading line items and totals. You can always attach a receipt to a transaction even if the suggested amount from the receipt doesn’t match the transaction. Line items on the receipt/transaction can be corrected after attaching!
